2. What personal data we collect

We collect personal data only when you actively provide it — we do not collect data passively beyond what is described in the Cookies section below.

Contact form

When you submit an inquiry through our website, we collect:

  • Full name
  • Company name (optional)
  • Email address
  • Phone number and country code
  • Product requirements, specifications, and quantities (free text you provide)
  • Product photos or reference documents (if you choose to attach them)

We do not collect special category data (health, political opinions, biometric data, etc.).

3. Why we collect it and the legal basis

Purpose Legal basis (GDPR Article 6)
Responding to your RFQ inquiry and providing sourcing assistance Performance of a contract / pre-contractual steps — Article 6(1)(b)
Follow-up communication about your inquiry Legitimate interest — Article 6(1)(f). Our legitimate interest is maintaining the business relationship you initiated by contacting us.
Analytics — understanding how visitors use the site Consent — Article 6(1)(a). You can grant or withdraw this consent at any time via the Cookie Settings link at the bottom of the page.

4. Third parties we share data with

FormSubmit.co (form processor)

Our contact form is powered by FormSubmit.co. When you submit the form, your data — including name, email, phone number, message, and any uploaded files — is transmitted through FormSubmit.co's servers and delivered to us by email. FormSubmit.co acts as a data processor on our behalf.

We recommend reviewing FormSubmit.co's privacy policy for details on how they handle data.

Analytics provider (planned)

We intend to add website analytics (such as Google Analytics) in the future. When enabled, this service will collect anonymised usage data — pages visited, session duration, general location (country/region). This will only activate if you grant analytics consent via the cookie banner. We will update this policy when analytics is live.

We do not sell your personal data. We do not share your data with third parties for marketing or advertising purposes.

5. International transfers

FormSubmit.co and any future analytics providers may store or process data outside the European Economic Area (EEA). Where such transfers occur, we rely on appropriate safeguards as required by GDPR — including Standard Contractual Clauses (SCCs) — to ensure your data remains adequately protected.

6. How long we keep your data

Data type Retention period
Contact form submissions (name, email, phone, message) Up to 24 months from last contact, or until you request deletion
Uploaded product photos / documents Up to 12 months, or until the inquiry is closed
Analytics data Per the analytics provider's retention settings (we configure the shortest reasonable period)
Cookie consent record Stored locally in your browser until you clear it or change preferences

7. Cookies

Cookies are small text files stored in your browser. We use the following categories:

Category Purpose Consent required
Necessary Remembering your cookie preferences (stored in localStorage, not a cookie technically, but treated equivalently). Required for the site to work correctly. No — these are essential
Analytics Understanding how visitors interact with the site — pages viewed, session duration, general location. No personal data is shared with advertisers. Yes — only active with your consent

You can manage your preferences at any time using the Cookie Settings link at the bottom of any page.

8. Your rights under GDPR

If you are located in the EEA, UK, or Switzerland, you have the following rights:

  • Right of access — Request a copy of the personal data we hold about you.
  • Right to rectification — Ask us to correct inaccurate or incomplete data.
  • Right to erasure — Request deletion of your data ("right to be forgotten"), subject to legal obligations.
  • Right to restriction — Ask us to limit how we process your data in certain circumstances.
  • Right to data portability — Receive your data in a structured, machine-readable format.
  • Right to object — Object to processing based on legitimate interests.
  • Right to withdraw consent — Where we rely on consent (analytics), you may withdraw it at any time via Cookie Settings. Withdrawal does not affect the lawfulness of prior processing.

To exercise any of these rights, email us at privacy@zentrova-sourcing.com. We will respond within 30 days. We may ask for proof of identity before fulfilling a request.

9. Right to complain

If you believe we have handled your personal data unlawfully, you have the right to lodge a complaint with your local data protection supervisory authority. You can find the relevant authority for your country at: edpb.europa.eu.

We would appreciate the opportunity to address your concern directly before you contact an authority — please reach out to us first at privacy@zentrova-sourcing.com.

10. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or applicable law. The "last updated" date at the top of this page shows when it was last revised. For material changes, we will provide notice on the website.
